International Employees

International Employees are required to complete/submit additional forms and documentation. Please visit the Division of Finance’s International Employees webpage for more information. If you are a Nonresident Alien (NRA), please refer to their NRA Resources page, as it contains very helpful information.

New/Returning (Rehire) International employees should follow the steps below:

  1. Email Copies of your visa and work authorization documents to Carolina Ethridge (cethridg@umd.edu) and Ronaisha Ruth (rruth@umd.edu) via Secure Share (i.e., for an F-1 Visa, these documents would include: I-20, I-94, Visa Stamp in Passport, etc.)
  2. When completing the I9 profile you will need to select that you are an “Alien Authorized to Work” in Section 1.
  3. If you do not have a Social Security Number, leave your Social Security Number blank and complete Section 1. The date that you are authorized to work is the end date on Form I-20.
  4. Make sure to sign electronically after you complete the I9 profile.

You will need a permanent Social Security Number (SSN) if you wish to work at the University of Maryland (UMD). If you do not already have a permanent SSN:

  • You may apply for a SSN once you have  checked in at ISSS and have been in the U.S. for at least 10 days.
  • Email INFO HR so they can provide you with your Temp # – only to be used on your Payroll Forms (W-4, MW507, and Direct Deposit).
  • Please visit the International Students & Scholar Services’ (ISSS) Social Security Number & ITIN webpage to begin the application process. Letters for your SSN application can be requested directly through iTerp.
  • After your appointment has been created, Cara Diggs (the NRA Campus Coordinator), will send you an email with instructions for logging into Glacier, creating your system profile, and completing your payroll tax forms. If you don’t have a permanent SSN, please indicate that you are applying for one.
  • All foreign national employees being paid or receiving funds through UMD payroll must create and maintain a GLACIER individual record for payroll and taxation purposes. This includes Resident Aliens and Nonresident Aliens.
  • After you complete your Glacier profile, please print (one sided) and bring your completed Glacier Packet: (a) Glacier Tax Summary Page, (b) Payroll Forms (W-4 – not the one that prints out with Glacier, MW507, and Direct Deposit), (c) copies of all Required Document Copies (i.e., I-20, I-94, Visa Stamp in Passport, etc.) listed on the bottom right side of the first page of your Glacier Tax Summary, and (d) Affidavit of Compliance. To ensure you’re completing your W-4 and MW507 Forms correctly, please refer to the Withholding Form Instructions sheet and follow the instructions provided for your tax status (listed on your Glacier Tax Summary).
  • To submit your Glacier Packet, please schedule an appointment with the INFO Payroll Team so we can fully review your packet before we submit it to Cara Diggs.

If you have any questions after reviewing the information provided, please reach out to infopayroll@umd.edu. Glacier Packets and any other paperwork for international employees (along with the W-4, MW507, and Direct Deposit forms) must be submitted all together directly to INFO Payroll.

All completed Glacier Packets must be submitted to our office for review and submission to the Campus NRA Coordinator. To meet with our team to submit paperwork or ask any questions relating to your employment with INFO, please schedule a time to meet with us. Appointments are required and our offices are located in A.V. Williams Building.

NOTE: Once you are issued a permanent SSN, please email Ronaisha Ruth (rruth@umd.edu) a picture/copy of it via Secure Share, so your records can be updated in the Workday system. You will need to update your Glacier Profile.

If you have a different visa status that does not require a Glacier packet (i.e., Permanent Resident), please reach out to infopayroll@umd.edu to ensure you complete and submit the necessary paperwork for your employment.
