Timesheets

The University of Maryland requires all hourly employees to complete timesheets in Workday on a biweekly basis. In order for the Workday system to automatically generate payment, both of the following must happen on time:
1. You will need to enter and submit hours on your timesheet every 2 weeks – by the End Date of each pay period.
2. Your Manager must review and approve of the hours by their deadline – if you are unsure of who your Manager is, you should be able to find this information on your Workday profile. If you have concerns about your timesheet being approved on time, please work directly with your Manager, as they are the ones who will be reviewing & approving your timesheets.

Some important things to keep in mind regarding timesheets are that:

  • Timesheets that are not submitted and/or approved on time will result in delayed payment.
  • Hourly employees are paid one cycle behind through the entire duration of the job – to view the pay dates associated with each pay cycle, refer to the hourly side of UMD’s Pay Schedule.

How to complete Timesheets in Workday:

  1. Hourly employees who do not hold any on-campus positions that require cardswipe should refer to the job aid on how to Enter, Edit, and Submit Time.
    -OR-
  2. Hourly employees who hold other on-campus hourly positions that require cardswipe will need their Manager to complete their INFO timesheet on their behalf. Hourly employees must first submit a Time Entry Request via Workday. This request must be submitted by the end of each 2 week cycle. The request will then be routed to the Manager, who will manually enter the time onto the employee’s timesheet. Managers should refer to the job aid on how to Enter and Edit Time on Behalf of a Worker.

Current hourly employees who fail to complete their timesheets on time may be looking to record hours for pay periods that have already closed. To do this, please submit a Retro Time Entry Request and be sure to list your INFO Manager in the appropriate field. The Retro TE Request will be routed to your Manager for review & approval before it comes to the INFO Timekeepers for processing.

Steps to submit a Retro Time Entry Request in Workday:

  1. Log into Workday
  2. Click Menu
  3. Select Requests → Create Request
  4. Search for Retro Time Entry
  5. Enter the applicable dates and hours
  6. Submit the request for review/approval

Please note that both Time Entry and Retro Time Entry Requests can be sent back for correction if your Manager believes changes need to be made.
